Contract Management Assistant

Position Type:  Full-Time, Hourly

Department:  Behavioral Health Division

Compensation Range:  $17.90 - $25.07 per hour
Closing Date:  01/19/2018 @ 5:59 p.m. CST

Milwaukee County's Behavioral Health Department (BHD) Crisis Services provides help to individuals who are experiencing a mental health crisis. We make it a goal to prevent hospitalization as much as possible, but part of our service includes emergency hospitalization if needed.

 

Under the direction of the Manager of Contracts and Network Services, the Contract Management Assistant position will provide high-level assistance to leaders of the Contract Management department to include organizing contract and provider network information and data, drafting vendor communications, assisting with master schedule of audits, and implementing process improvement procedures. This position is also responsible for screening, organizing, and categorizing routine inquires as well as responding to them with established policy or procedure knowledge.

 

Job Duties:

  1. Information Management. Organize, manage, and track contract and provider information/data into the BHD databases. Develop and utilized additional contract and provider information management systems as needed.

  2. Provider Network Support. Respond to and document routine inquiries from BHD/contract staff, community providers, and potential vendors. Filter more complex matters to the appropriate Contract Management staff member for follow-up.

  3. Credentialing Assistance. Assist with the process of obtaining, verifying, and assessing the qualifications of a Healthcare Practitioner.

  4. Office Management. Develop and manage Contract Management office processes. Suggest process improvements to departmental member and helps implement changes which improve efficiency and accuracy.

  5. Communications. Draft and edit all contract-related communications for both internal and external business partners. Within the department, track and communicate any follow-up needs. Work with BHD contractors for Strategic Communications to ensure contract-related matters are communicated clearly.

  6. Other. Assist with other contract-related and office duties as assigned.

Minimum Qualifications

  • Current resident of the State of Wisconsin.

  • High School Diploma or GED equivalent

  • Current Wisconsin Driver's License and access to a reliable insured vehicle; both maintained throughout employment.

  • At least five (5) years of working in high quality administrative and clerical assistance role, preferably in a contract or legal setting.

  • Intermediate knowledge of Synthesis and Avatar Electronic Medical Records (EMR) software.

  • Advanced knowledge of Microsoft Office Software specifically Office and Excel.

  • Demonstrated excellent customer service skills is required. 

Preferred Qualifications:

  • Formal Administrative or Executive Assistant training and/or certification.

  • Familiarity with contracting or provider network environment is strongly preferred.

  • Knowledge of Social Services or Behavioral Healthcare is highly desirable.

  • Ability to work in an environment quickly changing demands.

 

Additional Knowledge, Skills and Abilities:  Knowledge of Federal, State, and local laws governing Milwaukee County contracts; oral and written communication skills; ability to write reports; skill in database management, word processing and spreadsheet software applications; research skills; organizational skills; ability to work with business owners at all levels of development; ability to work effectively and harmoniously with vendors, county staff, and other governmental agencies, and ability to lift/carry/push/pull up to 15 lbs. occasionally.
